Hi Anna,

This is David with UCS support.  John assigned me 
your support ticket #82922 regarding your request 
for scanning to Google Drive.  I used to work for 
Ricoh and I know that they do offer a paid service 
to enable direct scanning to applications like 
Google Drive, OneDrive, Drop Box etc.  It is 
usually around $20 per month, per device.  I 
usually tell customers to avoid paying a recurring 
fee for this service by using the Google Drive 
folder sync option.  This works by designating a 
local folder to upload documents in it to your 
Google Drive account.

However, after talking with our systems team I 
discovered that you cannot sync any folders on WOU 
shared drives.  You could sync a local folder, say 
under your C: drive, but those folders are not 
backed up by our servers and are not accessible by 
anyone else in your department.

The systems team would like me to gather a bit 
more information as to the nature of the type of 
documents you need to scan to Google Drive.  You 
also do have the option of copying or moving any 
file in your I: drive scan folder to Google drive 
manually but please make sure you are not putting 
an PPI or sensitive information on your cloud 
storage where it could be compromised in the event 
of a data breach.

I'll be waiting to hear back a bit more info from 
you and keep your ticker open.

Hi Anna,

I just talked with John. It could potentially be a large project to
explore whether its feasible or acceptable from a security risk
standpoint to open the printer network to connect to google cloud. He
has said that he will consult the systems administrators and see what
their thoughts are about the idea of this project.

Copier name is MC-Tucker on ThreeSisters.
I talked with Anna, she decided she wants to scan to Google Drive or
bust.

Generally we create a I:\scans folder and scan to that.  And then they can move it to where they want the file to go.  This is the typical way we have done it in several departments.

We can only scan into a folder on our network.  We will need to know the UNC path of the network folder and it is case sensitive. We will also need the name of the copier and what you want it to say on the copier.  The copier name generally needs to be short.

Hi Anna,

Regarding service request #82922 - Set up copy machine to scan directly into a folder in computer:

I looked into the history we have on file for the copier in 212, the person who set up the copier Monica Valencia no longer works for WOU. I saw that Bianca received an email from Monica with instructions on how to set up the copier. I suggest asking Bianca to search her email from Monica for this email, it is possible that the email included a code or username/password with administrative capabilities. Monica's email address was valenciam@wou.edu or valenciam@mail.wou.edu.

If we can't come up with a code or username/password with administrative capabilities, we may need to hard reset the copier and set it up again as if it were new in order to access the cloud features in order to scan to Google Docs.

I have let John Rushing, our printer/copier manager know about this situation. He may have other ideas or options we could explore.

Looking at the SR for the copier, Monica was the one who set it up and
presumably is the one with administrative level access code. As she is
no longer with us, will defer to John as to how to proceed. It is
possible Bianca does as well, but she will be out of the office until
next week according to the front-desk receptionist on duty.

I looked at the printer, it definitely has cloud app and document
server capabilities. Unfortunately the code they have is not
privileged enough to change settings on the copier in order to
accomplish scanning direct to Google Cloud or to a networked
directory. They mentioned that Pepper was the person that set up the
copier last, no longer works with UCS but might be available on
campus if needed.

We are in the WUC, Room 212.  Andy is at the front 
desk and can show anyone who comes in what we 
need.
Any thoughts when someone might be available?
Also, random question, but can you scan into a 
google folder?
