POLICY
On July 1 employees are allowed to carry over a maximum of 80.0 hours
of unused vacation. Any vacation hours in excess of 80 that have not
been used by June 30 will expire on July 1.
PURPOSE
Vacation means absence from work permitting rest and recreation for a
specified period of time during which regular compensation continues.
Unclassified employees gain vacation privileges only if employed at .50
FTE or more on a 12 month appointment.
PROCEDURES
Vacation leave is reported monthly to the Faculty Payroll Office where
vacation accruals and balances are recorded and maintained.
AUTHORITY
Oregon Administrative Rule (OAR) 580-021-0030. In OAR 580-021-0030
(9) Western Oregon University received written approval from the Board's
Office on March 6, 1985, to use July 1 as the vacation accrual date for all
eligible unclassified employees. This means that should a new employee
reach their 11 months of continuous service on any date other than July 1,
their vacation will be prorated to July 1. The computation process is
explained in OAR 580-021-0030 (2).
APPROVAL
Monitoring and approval of vacation is the responsibility of the dean or
department head that signs the employee's monthly vacation leave report.
Vacation leave records including accrual, usage and balances are
maintained in the Faculty Payroll Office.
Vacation liability report for Closing of the Books is completed by the
Budget Director.
A hard copy of this document is always available in the office of Human Resources.
